About the Role 

As a Project Coordinator within our software company, you will play a crucial role in supporting the planning, execution, and monitoring of software development projects. This position requires a detail-oriented individual with strong organizational skills, excellent communication abilities, and a deep understanding of software development processes.

Responsibilities

  •  Project Planning and Scheduling:

    • Assist in the development of project plans, timelines, and milestones in collaboration with project managers and development teams

    • Coordinate resources, tasks, and dependencies to ensure project objectives are met within established deadlines

    • Monitor project progress and identify potential risks or deviations from the plan

  • Communication and Stakeholder Management:

    • Serve as a primary point of contact for project-related inquiries and communications

    • Facilitate regular meetings, including kick-off meetings, status updates, and retrospectives, and ensure clear documentation of meeting outcomes.

    • Communicate project status, issues, and risks to stakeholders, including project managers, team members, and clients

  • Documentation and Reporting:

    • Maintain project documentation, including project charters, scope statements, and risk registers

    • Generate and distribute regular project status reports, highlighting key metrics, accomplishments, and upcoming milestones

    • Ensure documentation is accurate, up-to-date, and accessible to relevant stakeholders

  • Risk Management and Issue Resolution:

    • Identify project risks and issues, assess their potential impact on project outcomes, and propose mitigation strategies.

    • Work with project managers and teams to address and resolve issues promptly, escalating when necessary

    • Continuously monitor project risks and take proactive measures to minimize their impact on project success

  • Cross-Functional Collaboration:

    • Facilitate coordination and information sharing among team members to drive project success

  • Regular Check-ins

    • Conduct weekly one-on-one or check-ins with  a team of developers

    • Measure engagement levels, track project statuses, coordinate help items with management and provide timely resolution

  • Timekeeping and Leave Management

    • Assist in timesheet tracking and monitoring of leave requests and approvals

    • Ensure timely and accurate recording of leave usage with the People Ops team

    • Coordinate holiday swaps and communicate related announcements to the team

  • Administrative Support

    • Provide administrative support to the CEO, Managing Partner, and/or the People Operations team on day-to-day operational needs

    • Manage calendars and appointments of the team

    • Keep internal trackers and documents updated and maintained timely and accurately

    • Other administrative tasks, as assigned

Qualifications

  • Bachelor's degree in Computer Science, Information Technology, or related field

  • 2+ years of experience in office administration or operations; experience working in a software company is a plus

  • Excellent communication and interpersonal skills, with the ability to interact effectively with technical and non-technical stakeholders

  • Detail-oriented with a focus on accuracy and quality in work output

  • Ability to multitask, prioritize tasks, and adapt to changing priorities in a dynamic environment

  • Open to work between 8pm to 5am Philippine Time or at least be online and attend calls between 9pm to 1am Philippine Time
