About the Role 

As the Administrative Assistant for our company, you will play a multifaceted role with a broad spectrum of responsibilities crucial to the seamless operation of our business. Your duties will encompass managing account payables, procurement, device management, and administering employee services and benefits. Your capacity to juggle diverse tasks, attention to detail, and proficiency in coordinating various aspects of our operations will be instrumental in fostering a well-organized and thriving work environment. By assuming these responsibilities, you will significantly contribute to the overall efficiency and success of our company.


Responsibilities


  1. Financial Administration:

  • Process payments for account payables, government remittances, and corporate expenses

  • Record and submit accurate monthly expense reports promptly

  • Monitor compliance with annual and monthly government requirements

  • Manage corporate funds, release disbursements, and maintain accurate tracking

  1. Procurement and Equipment Management:

  • Oversee procurement, shipment, inspection, security, and care of company equipment

  • Facilitate ad-hoc repair or sales of equipment

  • Keep the equipment inventory system up-to-date

  • Research suppliers and manage vendor relationships

  1. Employee Services and Engagement:

  • Administer employee services and benefits, including care packages, birthday treats, and food deliveries

  • Support employee engagement programs and initiatives, including creating announcements, co-hosting activities, disbursement/delivery of prizes, and supplier coordination

  1. Data and Compliance Management

  • Maintain the accuracy and integrity of all confidential company data

  • Manage HR information systems, employee database, movements, and 201 folders

  • Prepare various reports required by management and submit them promptly

  • Assist in keeping the organization legally compliant with government requirements

  1. Workplace and Facility Management:

  • Support the upkeep and maintenance of our physical coworking space

  • Improve administrative systems and processes for efficiency

  • Ensure appropriate and cost-effective execution of administrative tasks

Qualifications

  • Knowledge of and proficiency in office management systems and procedure

  • Fresh graduates are welcome to apply

  • Familiarity in the Google Workspace (Drive, Docs, Sheets, Forms etc.) and/or Proficient in MS Office applications (Word, Excel, Powerpoint)  is an advantage

  • Having a basic understanding of specifications for devices like laptops and smartphones can be an advantage

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to multitask

  • Takes initiative and can work effectively in a fast-paced environment

  • College-graduate

  • Must be able to report in our physical office in Quezon City as needed
